What to do when you have too many search results

Learn how to narrow down large search segments and export them in multiple batches

Sometimes your Cause IQ searches contain too many results to work with, making it difficult to identify the organizations you truly care about or efficiently export your results. This article covers strategies to help you refine your searches and export lists that exceed the limit of 3,000 records per report.

Filtering best practices

Cause IQ has over 460 quantitative and qualitative filters available, allowing you to create targeted searches to find the organizations you want. You can significantly improve the quality of your search results by following a few filtering best practices to narrow down your results.

Tips for refining your search:

  1. Use a mix of filter types - Add a combination of categorial, location, and quantitative (e.g., financial) filters to the same search to yield more targeted results. For example, you can add a Types filter, a Location filter, and a Total revenues filter to identify specific kinds of organizations of a certain size that are located in a specific state, county, metro area, or city.
  2. Break down results by revenue bands - If your pool of results is still too large to work with, add a Total revenues filter with different revenue ranges (e.g., $1M to $5M, then $5M to $10M, etc.) to create smaller, more manageable chunks of results to work with.
  3. Exclude irrelevant organizations from your results - Use exclusion filters to remove organizations that aren’t in your target segment, but still show up in your results. With the Advanced search, you can select to “Exclude organizations from search results” for qualitative filters.
  4. Include a number of employees filter to enhance personnel coverage - If you're interested in finding personnel contact information, such as emails, add a Num. employees filter (minimum of 1) to only view organizations with full-time staff. This increases the likelihood that the organizations in your search will have contact information available.

How to export searches that exceed 3,000 results

Cause IQ’s export tool limits individual exports to 3,000 records each. If your search contains more than 3,000 results after applying filtering best practices, you can use the export tool’s “Exclude previously-remembered exports” feature to download your results in multiple batches.

Step one: Export the first batch of 3,000 results

  • After adding filters to your search, click the “Export” tab to open the the export tool
  • At the bottom of the "What" step of the process, give your export a name in the the "Remember exported records" section.
    • Tip: Since you'll be doing more than one export for the same search, it can help to name them sequentially (e.g., New York health organizations - group 1” for the first export, "New York health organizations - group 2" for the second, etc.). This will make your exports easier to track later on.
  • Continue through the export tool steps and proceed to download the first batch of 3,000 results from your search.

Step two: Export the second batch of results using the exclude feature

  • Staying within the export tool, click back to the “What” step.
  • In the "Which records to include" section, select the option to "Exclude records from previously-remembered exports" and find / add your first export by name in the dropdown list (e.g., "L.A. health organizations - group 1").
  • Give your second export a name in the "Remember exported records" section.
  • Continue through the export process again and download the second batch of results.

Step three: Repeat the export process until all of your search results have been downloaded

  • For every subsequent export, remember to exclude all previously-remembered exports that belong to the same search in the "Which records to include" section. This will ensure that each export only contains records you haven't already downloaded.
